Gym and membership management software for Oman: door, classes and freezes

The gym front desk is simple: a search box, a member card, one big button and this morning's list. A member's standing on the card is not from anyone's memory. It is built from a real sale and recorded dates. Nizro covers memberships, freezes, weekly classes with a Ramadan timetable, and public links to book classes, with ladies classes kept apart from men's.

Works the way you already work

In a gym: you and Nizro

  • You

Type two letters of a member's name.

    Nizro

It shows the member's card with the status, active, frozen or expired, and one button that checks them in.

  • You

Sell the membership at the till.

    Nizro

It moves the paid until date forward by the plan's length the moment the sale completes, and nobody edits it by hand.

  • You

    Freeze a travelling member's membership.

    Nizro

It gives the frozen days back in full, and refuses a freeze once the yearly allowance is spent, naming the reason.

  • You

Set the two Ramadan dates once a year.

    Nizro

It switches the class timetable between the normal one and Ramadan's by itself.

  • You

Share the classes link on WhatsApp.

    Nizro

It shows women's classes behind the women's link alone, and starts a waiting list when a class is full.

The gym door: search, card, button

Type two letters of a name or two digits of a phone number and the matches appear. The card shows the standing in a clear colour: active in green, frozen in blue, lapsed in red. Someone with no membership reads as not a member. One button records entry. A gym desk account opens on this screen when it signs in. Below it is today's visit list, newest first, each row with a time, a name and its flags.

Lapsed memberships and trial visits

A lapsed membership blocks the door with a red notice: membership has lapsed, entry blocked. The desk has two ways forward, and both leave a visible trace: renew the membership at the till, or let the member in anyway with an optional note, which records the visit with the standing the door saw. If the override is pressed for a member in good standing, it records an ordinary visit with no mark, so nobody is accused of leniency that did not happen. A person not on the roster has a trial visit lane that searches all customers. An amber mark beside a member shows who needs a renewal conversation, so the manager reads the club's morning at a glance.

A membership is sold at the till

A plan is defined once: a name, a price and a term in days, such as monthly, quarterly or yearly. There is no separate enrolment screen. At the till you pick the member as the customer, ring the plan like any item and take payment. The moment the sale completes, the paid-until date moves forward by the plan's term. Nobody edits that date by hand from any screen, so when Nizro says a membership is paid, real money stands behind it. When a renewal comes due it lands on the follow-up list: the member, the plan and the due date.

Freezing a membership

Life pauses sometimes: Ramadan, home leave, travel, a health setback. A freeze is a dated period recorded on the membership. The frozen days are given back: the moment the freeze is recorded, the paid-until date moves forward by the length of the period. A member who paid for 30 days and froze 14 of them still ends up with a full 30 days, not 16. Each plan carries a yearly allowance: how many freezes and how many frozen days in total, by default two freezes and 60 days. When the allowance runs out, Nizro refuses the next freeze and names the reason. A freeze can carry a fee.

Classes and the weekly timetable

A class is defined once: a name in Arabic and English, a coach, a duration, a size and an audience. It then has weekly times that repeat by themselves, in two sets: regular and Ramadan. You set two dates once a year and the timetable swaps by itself. The board is a week starting on Sunday. Press a class and its roster opens: who is coming, who came and who waits. Booking fills the capacity and beyond it there is an ordered waiting list, so an overstuffed room does not exist. A member books on the membership and a drop-in pays at the till.

A public link and a ladies link

The audience is one of three: mixed, ladies or men. It is a rule, not a label. It decides the class's colour on the board and which public link may show it. The ladies rule is absolute: ladies-only classes exist only behind the ladies link, men-only classes only behind the public link, and mixed classes appear in both. The system itself refuses to place a class where it does not belong. The booking WhatsApp number is in the class settings, and you share the two links on WhatsApp and Instagram. Whoever opens them needs no account.

The invoice and e-invoicing

A membership invoice is structured today: tax on every line, sequential numbering and no amount, VAT, line or price changes after issue. The system is built to connect to Fawtara. Decision No. 189/2026 makes it mandatory from 1 April 2027 for businesses with annual supplies above OMR 5 million and from 1 October 2027 for every other VAT registered business. Confirm your own date with the Tax Authority. Accounting, payroll and purchasing come with it, and you switch them on in the settings.

Questions everyone asks

How does the door know a membership is valid?

The standing is built from a real sale and recorded dates, not from a member of staff's memory. Nobody edits the paid-until date by hand.

What happens when a membership has lapsed?

The door blocks with a red notice. The desk renews at the till or lets the member in anyway, and either way a visible trace remains.

Can a membership be frozen?

Yes. The frozen days are given back, and each plan has a yearly allowance, by default two freezes and 60 days.

Can I keep ladies classes apart from men's?

Yes. Ladies classes appear only behind the ladies link and men's classes only behind the public link. Mixed classes appear in both.

Is it ready for e-invoicing in Oman?

A Nizro invoice is structured today and the system is built to connect to Fawtara. Decision No. 189/2026 makes it mandatory from 1 April 2027 for businesses with annual supplies above OMR 5 million and from 1 October 2027 for every other VAT registered business.
